Preparing all the documents concerning project activity, transmitting documents, paper and electronic efficiently.  Maintaining the telephone listing database & preparation of telephone charge and billing reports; drafting and sending official faxes and receiving incoming faxes, screening office incoming calls, ensuring the proper routing of incoming faxes, and keeping a record of incoming and outgoing fax usage and charges.  Controlling office supplies, preparing requisitions for replenishment to the BC Office Manager. Dealing with important matters/ emergencies in PMпїЅs absence or seeking help from appropriate people. Managing a petty cash account and reporting on its expenditure to the BC Financial Section. 50% Accountancy for project: Preparing various types of financial commitment forms & payment vouchers on purchase orders, contracts, leases, utilities, telephone payments, shipment of baggage, travelling expenses, etc. Ensuring that commitment forms and payment vouchers provided by the project staff are correct and conform with the terms and conditions of the relevant of 12 Authorities to Charge (ATCпїЅs) and that other relevant authorising or supporting documents such as purchase orders, delivery notes, goods issue notes, contracts, leases, invoices, etc. are attached.  Keeping records of project expenditure up to date; weekly and monthly reconciliation of the internal project expenditure database with the BC Finance ManagerпїЅs Authorities to Charge Expenditure Reports data to ensure the agreement. Ensuring that each expenditure is charged to the relevant ATC. Asking and giving reasons for additional Authorities to Charge.  Making schedule for each type (8 types) of expenditures by categories and relevant Authorities to Charge using specific British Council internal financial forms. Making sure that funds are available for due transactions and payments. Maintaining a payment schedule for leases of the foreign project personnel (on average 10-12 leases p/y.).  Providing regular financial forecasts to the BC Financial Section: providing the BC accounting unit with the information on future transactions and payments to ensure that the proper ATC is set aside and providing feedback on all the payments done for various recurring items. 20% Travel arrangements: Making travel arrangements (tickets, visas, customs, booking hotels etc.), --on average 4-5 trips p/m-- & maintaining leave records of project personnel. Checking project staff travel expenditures claims (4-5 p/m) & verifying their conformity with travel authorisations & regulations and allowances. Ensuring that all the relevant documents, commercial bills, tickets, receipts are attached to the claims. Preparing payment vouchers for travel expenses claims. Providing guidance and assuring processing documents regarding travel expenditure reimbursement for project employees by the BC Financial Section. 10% Evaluation reports: Supervising & assisting the timely preparation of quarterly evaluation reports for locally hired and foreign teachers involved into the project (on average 18-19 reports every 3 months). Maintenance of the personnel database and informing the personnel on all types of personnel actions for locally hired and foreign employees of the project, relating to promotions, transfers, resignations, etc. FOREIGN LANGUAGES SCHOOL `PRESENT` (8 months) November 2000-June 2001 English language teacher Responsibilities:  Teaching English language for Beginners--Upper Intermediate students.  Two groups-- on average 5 students each-- already graduated (120 academic hours each): intensive course and usual course.  Efficiency in using Oxford press Courses and Video courses. KUHNE&NAGEL (4 months) May 2000 - September 2000. Statistics dept. Clerk/ PC operator (temporary). Weekly reporting & monthly reconciliation of AccountantпїЅs database on similar problems. 25% Maintaining Customs Clearances databases: Daily reconciliation of the statistic reports and warehouse status report with customs clearance officers to ensure that the goods due for delivery have been submitted to custom clearances properly and that all the sales and delivery and payments are legal and proper.
